Duties & Responsibilities

  • Maintain regular communication with customers to ensure invoices are paid promptly.
  • Conduct regular reviews of overdue accounts with the Head of Department and follow up on agreed actions.
  • Handle rejected invoices by escalating issues, tracking open logs, and coordinating with relevant stakeholders to ensure timely resolution.
  • Prepare and send monthly reminder letters and statements of account to customers.
  • Identify early indicators of potential customer default and implement measures to reduce the risk of bad debt.
  • Prepare monthly accounts receivable (AR) ageing reports and provide written updates on collection statuses.
  • Process refunds for credit balances, such as excess payments or credit notes, upon customer request.
  • Manage general office administration, including the oversight of office assets, stationery, supplies, and facilities to ensure smooth day-to-day operations.
  • Assist with HR-related tasks, including the onboarding and offboarding of staff, ensuring a seamless experience for new starters and leavers.
  • Provide administrative and secretarial support to the Head of Department.
  • Undertake any other tasks or projects as required to support the business.

Skills & Experience

  • Diploma in Accountancy, Finance, LCCI, CAT, or an equivalent qualification.
  • Preferably at least two years of relevant experience in accounting or administrative roles.
  • Excellent communication and interpersonal skills, with the confidence to engage with customers professionally.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Knowledge of SAP is an advantage.
  • Highly organised, detail-oriented, and capable of managing multiple tasks efficiently.
