Duties & Responsibilities
- Fulfil internal housing demand through unit sourcing, evaluation, rental negotiation, and mounting of suitable accommodation.
- Perform unit setup and furnishing for new units, as well as reinstatement works for end-of-lease units.
- Prepare and maintain e-documents related to tenant live-in and live-out processes.
- Conduct tenant live-in briefings and manage end-to-end tenant exit procedures.
- Maintain accurate and up-to-date tenant records, including HDB registration and other statutory requirements.
- Prepare and verify lodgings-related billing items and supporting documents for administrative processing, ensuring accuracy and timely submission.
- Liaise with landlords, property agents, and stakeholders on tenancy administration matters, including lease renewals, tenant registration, and reimbursement claims.
- Manage daily lodgings operations, including unit inspections, tenant movement tracking, stakeholder enquiries, and other operational matters.
- Ensure all housing-related enquiries, requests, and issues are attended to and resolved within established service timelines.
- Coordinate and schedule routine preventive maintenance activities, including air-conditioning servicing and other periodic maintenance works.
- Liaise with contractors to obtain quotations for cleaning, repair, maintenance, and reinstatement works, and oversee the completion of such works.
- Ensure all unit tenancies, service agreements, vendor contracts, and maintenance schedules are monitored and renewed in a timely manner to prevent any service or operational lapses.
- Manage Personal Protective Equipment (PPE) inventory, including stock monitoring, issuance, replenishment, and record maintenance.
- Operate company vehicles when required to support lodgings operational activities, inspections, and site visits.
Skills & Experience
- Proficient in Microsoft Office applications, particularly Microsoft Excel and Outlook.
- Strong organizational and multitasking abilities, with the capacity to manage multiple priorities while maintaining accuracy and attention to detail.
- Meticulous, process-oriented, and able to work independently with minimal supervision.
- Strong interpersonal and customer service skills, with the ability to effectively engage tenants, landlords, agents, contractors, and internal stakeholders.
- Prior experience or knowledge in real estate, property management, facilities management, or a related field would be an advantage.
- Possess a valid Class 3 Driving Licence.
