Duties & Responsibilities

Operations Support & Administration

  • Provide operational and administrative support to ensure efficient day-to-day business unit operations.
  • Maintain accurate and up-to-date records, databases, trackers, staff profiles, certifications, licences, and operational documentation.
  • Coordinate operational activities, staff deployment records, meetings, training schedules, and other business support functions.
  • Prepare reports, dashboards, presentations, statistics, and data analysis to support management decision-making.
  • Manage document control, filing systems, version control, and record retention in accordance with company requirements.
  • Support audits and operational reviews by ensuring timely retrieval and traceability of records and documentation.

Training Coordination & Capability Development

  • Plan, coordinate, and administer onboarding programmes, role-based training, refresher training, compliance training, and competency assessments.
  • Develop, update, and maintain training roadmaps, learning plans, competency matrices, and training records.
  • Conduct or facilitate training sessions, operational briefings, toolbox meetings, and on-the-job training (OJT) where required.
  • Prepare, review, and maintain training materials, guides, and learning resources to ensure relevance and consistency.
  • Monitor training completion status, certification validity, and competency requirements, highlighting any gaps for corrective action.
  • Work closely with operational stakeholders to ensure workforce competency and training compliance requirements are met.

Compliance, Governance & Quality Assurance

  • Maintain compliance registers and monitor regulatory, contractual, and internal compliance requirements.
  • Track compliance status, certification validity, licence expiries, and training currency, escalating gaps and risks to management.
  • Support the development, implementation, and maintenance of SOPs, Operating Instructions (OI), Risk Assessments (RA), and other controlled documents.
  • Conduct compliance checks, documentation reviews, spot audits, and follow-up actions on audit findings and corrective actions.
  • Ensure all operational records, training records, and compliance documentation remain audit-ready and aligned with company policies and regulatory standards.
  • Support continuous improvement initiatives by identifying opportunities to enhance operational processes, controls, and documentation standards.

Skills & Experience

  • Diploma or relevant qualification in Business, Administration, Operations.
  • 1–3 years of experience in administration, training coordination, delivery, or compliance support
  • Good communication and interpersonal skills as work involves liaising with multiple internal parties.
  • Task oriented, attention to details, and is a team player
  • Able to work independently on task assigned with minimum supervision
  • Proficient in Microsoft Office (Excel, Word, PowerPoint)
  • Basic experience in training delivery, facilitation, or content development
  • Exposure to audits, SOP management, or compliance tracking
